You’ll notice that once inserted, the PDF takes on an “In front of text” layout style and hovers above the cells. If you want to anchor the PDF to (and format with) a specific cell, then right-click the icon and select “Format Object” from the drop-down menu.
The “Format Object” window will now appear. There are several different things you can do here, including changing the size and color, cropping, and even adding alt text to the object. What we’re particularly interested in here, though, is object positioning.
First, select the “Properties” tab. You’ll find a few options concerning the positioning of the object. Here, select “Move and size with cells” and then click “OK.”
Note: If you don’t want the icon to appear in the printed version of the sheet, untick the “Print object” checkbox.
Now any changes made to the cell, including hiding or resizing, will also apply to the icon.

You can put the file on your company website or on a file-sharing service such as Dropbox, Microsoft OneDrive or on Google Drive. Then, get the URL of the PDF file and test that it works in your Web browser. If it does, put the URL into a cell in Excel.
You may want to put text in the cell or in an adjacent cell to explain what the link is. Additionally, you may want to create a password-protected PDF or use access controls on your Web or file hosting platform, to limit who can access the file.
Insert Email Address in Excel
You can also type an email address into the spreadsheet, if you’d prefer to have the person reading the spreadsheet contact you to receive it. Simply type the address in an ordinary cell.
If you’d like to create a link to send an email to you, use the HYPERLINK function in a formula. Put “=HYPERLINK(mailto:[email protected]?subject=desired subject” in a cell, replacing [email protected] with your address and desired subject with the subject.

Fix the Embedded PDF File to a Cell
When you embed a PDF file in Excel, it is inserted as an object that sits above the worksheet cells. The position of the icon would not change if you change the cells below it.
For example, when you place the icon within a cell, it would not move with the cells and would not get filtered, sorted, or hidden with the cells.
As shown below, if you hide the cell that has the PDF file, it doesn’t hide the PDF.
To make sure it sticks to the cell:
- Insert the file icon within the cell. If it doesn’t fit, either resize the icon or the cell so that the icon is within the cell.
- Right-click on the icon and select Format Object. (If you have multiple PDF files embedded, you can select all and then right-click and select the Format Object option.)
- In the Format Object dialog box, select Properties tab and select the option ‘Move and size with cells’
- Click OK.
Now when you filter or sort/filter the cells, or hide the rows, the PDF object will do the same.
Renaming the Embedded PDF File
When you embed a PDF file in Excel, it gets a generic name such as “Adobe Acrobat Document”.
You can change this name by following the below steps:
- Right-click on the PDF object and select Convert option in the Acrobat Document Object.
- In the Convert dialog box, click on the Change Icon button.
- In the Change Icon dialog box, change the caption to the name you want for the embedded PDF document.
- Click OK.

Ok so I have an excel spreadsheet and I have a drawing that is a PDF that I want to embed in the worksheet. I have seen it done in the past where in a cell it has the PDF symbol along with a name. I will be sending the spreadsheet to multiple parties so it cant be a shortcut kind of link. Any advise/help? Thanks?

Select the cell in your workbook spreadsheet where you wish to embed a PDF. Click on the Object button in the Text group under the Insert tab. Highlight Adobe Acrobat Document under Object type in the Object pop-up window.
Decide how you want your PDF to appear in your Excel document. If you want the PDF to appear as the first page of the PDF, simply click the OK button. If you want the PDF to appear as an icon, click the check mark labeled “Display as icon” and choose an icon using the “Change icon. ” button or click the OK button to accept the default Adobe Acrobat Document icon.
Navigate to the PDF you wish to embed in your Excel workbook in the Windows Explorer pop-up window. Double-click on the PDF file or click the Open button after highlighting the PDF file to embed it in your Excel workbook.
Double-click on your embedded PDF or representative icon in Excel to access your embedded file.
