There are many ways to organize files in folders within Finder, but possibly one of the handiest is to sort files by the application that will open them. AppleInsider shows how to enable this Finder view, as well as a similar option that can be used to group applications by function.
Sorting files and folders in Finder is pretty straightforward in macOS, and has been for quite some time. It is quite simple to order a folder’s contents by name, date added or modified, or even the kind of file it is, and most users will be familiar with these sorting options.
While “Kind” is a fairly useful option for dividing files up by their type, as well as bunching together folders at the top of the Finder window, it isn’t quite as useful as it could be. For example, sorting the recent files option in Finder by Kind will certainly bunch together videos, spreadsheets, images, and other general categories, it also groups together files in a “Documents” category that could be opened in OpenOffice, TextEdit, books, and even GarageBand projects under the category.
A better option would be to sort by the type of application that opens each file, filtering the list of files in a more thorough way than “Kind” is capable of performing.
File Sorting by Application
To sort folders containing lots of files in this way, first open Finder to show the folder you wish to reorganize. Click the Arrangement button, which looks like two lines and six squares placed in rows, then select Application.
Finder will rearrange the list to show the name of an application followed by files that can be opened by that particular software.
If Finder is in the Icon view rather than List or Column, there may be too many items to fit into a row, with the rest viewable by clicking the Show All link in the top-right corner of the row. Clicking this will expand the row down to show its full contents, with it able to be reverted to a single row again by clicking Show Less in the same spot.
Application Sorting
If you want to categorize the apps in the Applications folder, there is no option to do this by sorting it all by Kind, but it can be sorted using another option.
In this case, select the cog button then Show View Options, or alternately View in the menu bar followed by Show View Options or by using the Command+J keyboard shortcut. This will bring up a separate window used to change the viewing properties for this specific folder.
In the first “Arrange By” dropdown box, select Application Category. This will automatically sort the entire Applications folder into different types of app, with groups including Music, Social Networking, Video, Productivity, Utilities, and Developer Tools, among others.
While this is handy, the sorting can be taken one stage further. With “Arrange By” still set to Application Category, open the “Sort By” dropdown box and set it to Date Last Opened.
The result of this extra refinement is that the groups will continue to be in their existing order, but with the apps in each group ordered by the last time they were accessed, with the most recent apps kept to the left. For Mac users with considerable App libraries, this particular sorting method is useful as it keeps the most-used apps in view towards the left, with older apps slowly shuffling to the right and eventually out of view.
Further Notes
This only scratches the surface of the variety of ways folders can be organized in macOS. As seen in Show View Options, it is easy to alter how a particular folder appears, down to the size of icons and the space between items.
The extra Sort By section of Show View Options can also be applied to other folders to further refine groupings. Sorting by name is useful if you know the filename, but if you don’t know it by heart but have used it recently, the options in this box can certainly help you find what you need.
presently when I attempt to group files in Finder (Yosemite 10.10.3) by kind the created Documents category creates a vast number of files including CSVs DOCX etc: Is it possible to make this groupings more efficient, by:
- Grouping files by extension -or-
- Defining what extensions are classified where, for instance in case of the Documents category I would like for it to contain only PDFs and DOC/X-XLS/X files whereas CSVs could be in a separate data category. The developer category is particularly messy as it tends to contain hundreds of files, lot of them created automatically when working with *.tex files.

Short answer: I don’t think you can change or add to the defined groups. As best I can tell groups are defined on the system level, based on Apple-declared uniform type identifiers (UTI). I suppose one could (conceivably) add new UTIs by creating an app that declares them and propagates them to the system, but that seems like overkill.
However, there are a couple of options you might try:
- Group by Application: This will group all files together by the default application that opens them. It’s more fine-grained than Kind, but depending on how your application defaults are set up it might not produce the results you want.
- Group by Tags: This will involve some prep-work setting up Folder Action scripts that will tag your files according to your desired criteria, but this gives you fine-grained control over how files are grouped in Finder windows.
I would recommend creating several saved searches, each for a specific file extension within a given folder, and then add each saved search to the Finder sidebar. For example:
- In Finder, go to your working folder, then type something (e.g., xxx) in the Search field.
- This reveals the Search row; click the ‘+‘ at the far right.
- Change Kind to File extension, and type one of the extensions you need.
- Remove the “xxx” or whatever you had originally typed.
- Click the Save button.
- Type a meaningful name for your search (e.g., Documents – PDF), and tick the Add To Sidebar checkbox.
Now that you have a saved search in the Finder sidebar, you can make duplicates of it.
- In the Finder, right-click the Documents – PDF (that you just created), and choose Show in Enclosing Folder.
- Duplicate your saved search, and rename it to something like Documents – DOC (i.e., for whatever you intend it to represent).
Select the duplicate search, and choose File menu >> Add To Sidebar.
In the Finder sidebar, click the Documents – DOC shortcut you just created.
Unfortunately, you can’t modify the folder location that a saved search points to; this seems like an oversight, but there you go.
I’m reading everything about Lion, but I can’t find out how to sort files in Finder in ascending or descending order. I can’t click the column header. Thanks.

That hasn’t changed. You click on the column headers as before. Are you sure you are in list view, not column view?
I have it in List VIew and Arrange By: Kind (and Application) and i was hoping it would allow me to sort ascending or descending in each group, but it didn’t seem to do that. In List view and Arrange By: None, I can click the titlebar to sort like you said.
I’m having the same problem. My co-worker just updated and his is working fine.

Some list view windows have the traditional grey bar that i can click on a column and it goes blue and sorts.
Other list view windows have a new white bar (the same as the all my files header) that won’t let me sort no matter what i click on.
It is the same for me. The header becomes white, not grey like before but just for Downloads folder. I cannot click on it to sort or to resize the columns.
This was the latest in a growing list of UI tweaks that Apple have made in Lion that were driving me insane, resulting in me looking for the option to make it work the old way.
In list view, you have to set ‘arrange by’ to ‘none’ from the rightmost icon in the toolbar, then you get the usable stuff back.

You are right, in list view you can arrange by name, BUT I use column view. In column view I can no longer sort by name, no matter what I do. I would have thought this would have been one of the most important tasks of ‘finder’. They should change the name of ‘finder’ to ‘loser’ because it is now much harder to find what you want. I can’t believe they have made this mistake, or is it me, am I going crazy here?
I’m not sure what you are referring to. In Column view in the Finder (I prefer Column view) sorting by name is the only option. Well, I can “arrange by” something else, but that is strictly optional.
If it is not sorting by name for you in Column View, then what is it sorting by?
It appears to be arranging by date created, but not sure. It almost appears random. This only started when I updated to Lion. I tried selecting ‘none’ in ‘arrange by’ and this made no change at all. Is anyone else out there on Lion getting this? Am I cursed? As well, when I used to send emails I could attach a file by selecting it from recently opened in the left hand column, which was great. Often a file to send was one I had just used. Now this has been removed from the view. Any help greatly appreciated.
Try different views. Different folders. Experiment. I can’t imagine what would cause this.
Hi all. Sorted. Mac is cool again. I rang the help line.
Searching through finder I was instructed to drag a small ‘finder’ file from one of the finder programmes onto the desktop.
Restarted the Mac, which then re-generated this defective script and it fixed the issue immediately.
Thank god. I was ripping out my hair over this.

Click on arrange button in toolbar (far rights icon) and select none. The clickable headers will be restored

This totally worked for me – it was exactly what I’ve been looking for!! I’ve been getting so frustrated because somehow my files were sorted Z – A and I couldn’t figure out how to change it back to A – Z.
With Michael’s help my summary of how to customise “List View” is as follows: when using “List View” selecting Arrange By > Name will give you the floating white headers that you cannot click on, but Arrange By > None will give you solid grey headers that you can click to toggle between ascending and descending and which will also allow you to edit the width of your columns (not to be confused with “Column View” though!). When you have Arrange By set to None you can use the Sort By > Name function from the View Options menu to keep you files in alphabetical order.
I hope this helps somebody else like me to figure out the new ins and outs of Lion – Good Luck!

May be a change in High Sierra, but this no longer sorts applications alphabetically. Still separates the Apple applications onto the first page, but neither are sorted.
If anyone finds a work around let me know, and if I run into one myself I’ll update.

I found it worked in a limited way.
Yes it isolated Apple apps to page 1, unsorted, but the 3rd party stuff gets sorted on pages 2 and 3 (in my case) It’s certainly easier than manually sorting the 3 pages. I moved FileMaher Pro Advanced to page 1. A useful little script, thank you @TobiasJW

I found a more useful option, more akin to the Windows Start menu. Just drag your Applications folder onto the Dock, so it becomes a Stack, and you’ve got every app in alphabetical order.
Anyone know if I can add a keyboard shortcut to a Stack?

This is a pretty old thread, but if it can be useful to someone. In fact, the option of using bigger or smaller icons already exists. Before you try it though, be aware that when you run the command in terminal, it resets your launchpad altogether. If your icons are already sorted in a particular order, know that you will need to reorganize them from scratch afterwards.
If you wish to go ahead and try it, open a terminal window and here are the commands. You can pick any number of rows and columns that best suits your need and your screen dimensions. There is a maximum superior value though, but I can’t remember what it is precisely. Something around 25-30 rows or columns max.
defaults write com.apple.dock springboard-columns -int X;
defaults write com.apple.dock springboard-rows -int X;
defaults write com.apple.dock ResetLaunchPad -bool TRUE;killall Dock
You only have to replace the X variables by the number of columns and rows you wish to have respectively.
I personally use a 10 x 7 grid, so 70 icons per page for which you would write:
defaults write com.apple.dock springboard-columns -int 10;
defaults write com.apple.dock springboard-rows -int 7;
defaults write com.apple.dock ResetLaunchPad -bool TRUE;killall Dock
Depending on the computer model and in accordance with screen size and resolution, the number of rows and columns by default is not the same for all Macs. Make sure you take a note of what’s the default on your Mac in case you ever want to revert the changes you’ve made. You use the same command in order to do that and replace the variables with the size of your original grid.

Jos olet kuten minä, Mac-sovellusten kansio on täynnä sovelluksia, joista suurin osa käytät harvoin mutta silti pitää silmällä. Jos selaa kaikkea löytääkseen etsimäsi on ylivoimainen, yksinkertaisen tempun avulla voit lajitella nämä sovellukset luokittain – kuten tuottavuus, musiikki, koulutus ja muuta.
Aloita avaamalla Finderin ja siirtymällä Applications-kansioon.
Napsauta näppäimistön Command + J näppäintä avataksesi Näytä asetukset -ikkunan. Vaihtoehtoisesti voit valita valikkoriviltä Näytä> Näytä näkymän asetukset.
Napsauta avattavasta Järjestä-vaihtoehto ja valitse Sovellusluokka.
Aivan kuten, sovelluksesi lajitellaan luokan mukaan! Mac App Storessa käytetyt osat ovat kaikki edustettuja, mutta kaikki sovellukset lajitellaan, ei vain Mac App Storesta.
Jos vaihdat Näytä kuvakkeiksi (Komento + 1), Finder tarjoaa rivit jokaiselle luokalle. Se näyttää hyvältä, vaikka se ei ehkä ole kaikille.
Luokanäkymässä on yksi haittapuoli: monet sovellukset joutuvat "Muuan", oletettavasti koska niiden luojat eivät ole määrittäneet luokkaa. Valitettavasti emme löytäneet mitään mahdollisuutta määrittää manuaalisesti kategoriaa.
Tästä huolimatta tämä on hyödyllinen tietämättömyys, ja se voi vain helpottaa sovellusten selailua. I kind of wish Launchpad käytti näitä kategorioita – voisin jopa harkita sen käyttöä sitten!
