Many email servers refuse to accept email attachments over a certain size. While attachment sizes haven’t kept up with the times, there are other easy ways to send someone large files over email.
Even if you’re using a modern, online email client, message size is limited. Gmail, for example, allows messages to be up to 25 MB, including the message’s text and any attachments. Outlook.com allows only 10 MB. When sending messages over these services, they will automatically give you a helping hand and suggest alternatives—such as using Google drive for Gmail attachments and OneDrive for Outlook.com. That’s handy, of course, but if you’re using a desktop email client or another service, you may need to know about these tricks yourself.
What’s the Maximum Size of an Email Attachment?
In theory, there’s no limit to the amount of data you can attach to an email. Email standards don’t specify any sort of size limit. In practice, most email servers—and some email clients—enforce their own size limits.
In general, when attaching files to an email, you can be reasonably sure that up to 10MB of attachments are okay. Some email servers may have smaller limits, but 10MB is generally the standard.
Gmail allows you to attach up to 25MB to a single email, but this is only guaranteed to work if you’re emailing other Gmail users. As soon as the email leaves Gmail’s servers, it could be rejected by another email server. Many servers are configured to not accept more than 10MB of attachments.
It’s not even as simple as looking at the maximum attachment size of the service you use and the service you’re emailing—emails often travel over several mail transfer agents when they’re sent, so you may have your attachment rejected by a server along the way if you attach too much data.
You should also bear in mind that email attachments are generally MIME encoded, which increases their size by about 33%. So 10MB of files on your disk will become about 13MB of data when attached to an email.
Use a Cloud Storage Service
By far, your simplest option is to store files you want to share on a cloud storage service like Dropbox, Google Drive, or OneDrive. You can then share the file with someone and inform them via email that you have done so. They can then click a link and download the file directly to their computer.
If you use Gmail or Outlook.com, you’ll find that Google and Microsoft have integrated Google Drive and OneDrive into their respective email services. Just click the Google Drive or SkyDrive button when sending an email and you’ll be able to share a file via email. Gmail and Outlook will walk you through choosing a file that already exists in your cloud storage drive or uploading a new file.
If you use something like Dropbox, you can share the file from the cloud storage service’s website. For example, right-click a file on Dropbox’s website and select Share link if you use Dropbox. If you have the Dropbox app installed on your computer, you can also right-click any file in your Dropbox folder and you’ll see a “Share” command there, as well.
This is the option many email providers are pushing us towards—if you try to attach a large file in Gmail or Outlook.com, you’ll be prompted to upload it to Google Drive or SkyDrive first.
Create and Send Multi-Part Archives
If you’re looking for a more traditional, do-it-yourself method, you can split your file up into smaller parts. For example, if you had a 50MB file you wanted to email—or even a collection of large files—you could use a file compression program like 7-Zip to create an archive, and then split the archive into five 10MB pieces.
After splitting the archive, you can then attach all the separated pieces to separate emails. The recipient will need to download each attachment, and then use a file extraction program to extract the larger, complete file from the separate archives.
While it can be a bit cumbersome, this traditional method still works as well as it always did. Some recipients might be confused by the separate attachments—or at least won’t enjoy jumping through hoops to reassemble them. If you’re not sure whether your recipient will know how to do this, it’s probably better to choose an easier method.
Use a Large-File Sending Service
To help answer the large attachment problems, a number of file-sending services have sprung up online over the years. These services let you upload a file, and then give you a link to your upload. You can then paste that link into an email and the recipient can click the link and download the file.
Of course, these services have to make money somehow. They may do that by displaying ads, limiting the maximum file size available to free users, or demanding a subscription fee. We’ve covered many of these online services for sending and sharing large files before. And note that when you use an online service, you’re entrusting it with your files. That may be okay if your files aren’t particularly sensitive, but you’ll probably want to shy away from uploading sensitive data to a free service you haven’t heard of before. Of course, you could encrypt the files before uploading them — but that would add additional hassle for the recipient, too.
These file-sending services work fine, so long as you’re okay with whatever ads or limitations exist, and you understand the risks—especially with sensitive files. However, we typically recommend just using a cloud storage service instead.

Delivering large files or collections of files to colleagues and clients is a challenge. While sharing through Dropbox is great for collaboration, sometimes you want to just hand off files without having to worry about permissions, ongoing access, and storage.

The Easiest Way to Share Large Media Files With Dropbox or Google Drive

What’s the easiest, most effective way to transfer large files over the internet?
If you’re a graphic designer, artist, or a movie creator, this is no small question. Your work depends on getting files to your clients. If there’s a faster, easier way to transfer big files, you need to be using it.
In this article, we’ll look at three different ways to send and save large files online.
Email (least effective)
Dropbox or Google Drive (somewhat effective)
Cloud sync (most effective)
All three methods work, but as you’ll see, the third method is by far the easiest.
Method 1: Email
Many people’s default option for transferring files is to email them.
With big files, you’ll quickly run into file size limits.
And even though most email providers provide workarounds:
The person who receives your email can still have problems receiving and downloading the file on their end.
Many companies, for example, have security measures in place to prevent downloads of large files via email.
For this reason, sending big files by email can easily become a major headache.
Method 2: Sharing Through Cloud Storage
Google Drive and Dropbox are the two most commonly-used cloud storage platforms available.
Free plans will get you a few GB of storage. But if you’re working with big files, you’ll probably need to upgrade to a paid plan.
A full terabyte of data (1,000 GB) will cost you under $10 per month for either platform, with additional storage available if needed.
Once you have storage space available, you can upload your files, then “share” those files using a share link.
We do not recommend sharing a folder to share big files.
It’s unlikely that a client or partner organization will be using the same cloud storage service as you.
For that reason, the person you’re trying to share a folder with will have often be working with a free Dropbox or Google Drive plan.
When you share a folder full of big files with someone on a free plan, you’ll quickly max out their storage limits.
Instead, share a link that gives access to the file to anyone with the link. The person can then click to download and save the file.
The fastest way to share a link is to use the Share and attach files in Gmail Chrome extension.
This will let you navigate to any of the major cloud storage providers directly from within Gmail, no copy and paste required.
Method 3: Syncing a Dropbox or Google Drive Folder
This is the easiest method.
By using cloudHQ, you can sync a Google Drive or Dropbox folder to any other cloud platform.
Whatever cloud storage plan your client is using, you can sync directly to a folder they set up for the project.
If you use Google Drive and your client uses Dropbox—for example—a cloudHQ sync means you can link your Google Drive folder directly to a folder in their Dropbox account.
Once the sync is in place, anything you place in your shared folder will show up immediately in their Dropbox folder, and vice versa.
Instant access. No need to share individual links or send a dozen emails letting everyone know when new files are ready for review.
The Payoff
Logistics is a constant headache for creatives working with big files. Using Dropbox and Google Drive is a big step up from email attachments.

If you are to share a large file with someone over the Internet, there are generally two options – you can either attach the files to an email message or, if the files are too big to fit in an email program, you can upload them to an online storage service and then share the download links with the recipient
Let’s now explore some of the popular services that’ll make it easy for you to transfer large files over the Internet without any hassles or costs.
A: Share Large Files over Email
The Gmail service cannot handle email attachments that are larger than 25 MB but the recently-revamped Hotmail service is a much better alternative as it lets you send email messages as large as 10 GB.
The maximum size of an individual file that you can attach to an Hotmail message is only 50 MB but you can use a file-splitting utility like HJ-Split to break a big file into smaller chunks and then attach them all to a single message. The recipient can then join these chunks to restore the original file and he can do without requiring external programs.
B: Share Large Files without Email
The downside with email attachments is obvious – most ISPs and web-based email programs (including Gmail) will reject incoming messages that have big attachments and therefore, if you are sending a bulky file via email, the recipients also have to be on Hotmail as well in order to receive that file.
One of the best options for sharing large files without email is Dropbox. Once you install the the Dropbox utility on your (Windows, Mac or Linux) desktop, you can upload files of virtually any size to the Internet – it’s only limited by the size of your Dropbox storage which is 2GB in the case of free accounts. Alternatively, if you don’t want to install Dropbox, you can upload files straight to the Dropbox website from your browser but the limit in this case is 300 MB per file.
You can even consider using Google Docs to share those big files over the Internet. Google Docs lets you upload files up to 250 MB in size and they can be in any format. You have 1 GB of free storage space for storing all the non-Office files on Google Docs but you can also buy more space for a reasonable fee.
Unlike FTP servers, services like Google Docs and Dropbox don’t support resumable downloads. That means if the connection breaks while the recipient is still trying to download your “huge” file, he or she will have to resume the download from scratch. That can be a deal-breaker for lot of people.
SkyDrive, part of the Windows Live family, can solve this problem in a way.
The service offers 25 GB of free online storage, with individual files limited to 50 MB. To upload a large file, split it into chunks of 50 MB each and then upload them all to a single folder on SkyDrive. The recipient can download the entire folder as a ZIP or, if he’s on a flaky connection, he can download files one by one and then join them all at his end.
C. Share Files without Registration
Finally, if you are looking for something quick and simple that doesn’t even require registration, talk to YouSendIt or WeTransfer (if the file size is really big). Just upload the files via the browser, enter the email address of the recipient and hit send. WeTransfer lets you send files up to 2 GB in size while the maximum allowed limit is 100 MB in the case of YouSendIt (free version).

Sharing a file over the Internet is really simple: just attach it to your email message. Sure, that’s easy; but what if the file is really very large, much beyond the limited capacity of the email? Dropbox not only allows you to share files with others over the Internet, but also automatically backups your files online, keeps your files synchronized between computers, and allows you to synchronize your files with mobile devices. Best of all, as and when newer versions of Dropbox materialize, your current Dropbox version will automatically get updated. Wow!
Dropbox is a simple easy-to-use service which allows you to share large files over the Internet. All you need to do is to install the Dropbox facility on your computer and upload files of any size to the Internet. Sounds amazing? Yes, it is!
There is a catch though: Dropbox is not entirely free. In the case of a basic account, which provides you with 2GB Dropbox storage, you do not have to pay anything and you can use it for as long as you wish. However, for more storage you do need to pay. Nevertheless, the fees are really low and Dropbox is a real steal at the given prices!
You’ll receive an error message if you attempt to attach files larger than the maximum size limit. There are a few ways to work around this size limit, including using a file sharing service or compressing the file.
Outlook limits the size of files you can send. This limit prevents your computer from continually trying to upload very large attachments that exceed the limits of most Internet service providers. For Internet email account. such as Outlook.com or Gmail, the combined file size limit is 20 megabytes (MB) and for Exchange accounts (business email), the default combined file size limit is 10 MB.
Save your file to a cloud service and share a link
There are many cloud storage services to which you can upload and then share large files. Some popular cloud storage services include OneDrive, Dropbox, iCloud, and Google Drive. Once your file is stored in the cloud, you can include a link to the document in your email message.
Upload your file to a cloud service, such as OneDrive or Dropbox.
Note: The service you use generates a link to access your file. Your recipient can open the link to download your file.
After you upload the file, copy the link, and paste it into your email message.

Compress the file
When you compress, or zip , your file, it decreases its size, and it might decrease it enough to fit within the Outlook size limits for attachments. The following articles describe how to compress and extract files for different Windows operating systems.
Reduce the size of an image
If you’re sending large image files you can automatically resize them to reduce their file size.
Attach the images to your email message.
Click File > Info.
Under the Image Attachments section, select Resize large images when I send this message.
Return to your message, and click Send.
Save the file to a SharePoint server library
If you’re using Outlook in a business environment and use SharePoint, you can save a file to a SharePoint library and share a link to the file. See Share a document using SharePoint or OneDrive for instructions.

For Outlook 2010 and Outlook 2007, if you try to send a message with attachments that are too large, the message“ The attachment size exceeds the allowable limit” appears.

Even if your message doesn’t exceed the Outlook or Exchange Server attachment size limits, there is a chance your recipient’s email provider might block messages that include large attachments. To help reduce the size of attachments that you send in Outlook, see Reduce the size of pictures and attachments.
In addition to mail provider limits on total message size, sending large attachments through email is not always the best solution.
Your message might cause your recipients’ mailbox to exceed the storage quota If the recipients’ mailboxes exceed the storage quota, the recipients could be prevented from receiving other messages.
Your message might cause your mailbox to exceed the storage quota Each message that you send is saved in the Sent Items folder. Sending large attachments to other people counts against your mailbox size quota as well. When you exceed the storage quota, you could be blocked from receiving additional messages.
Attachment bloat When a file is attached to message, it has to be encoded. The encoding process causes attached files to become 1.37 times larger than they are on your computer. For example, if you send a 5 MB file attachment, the attachment is sent as 6.85 MB of data.
There are several ways to share large files and collaborate with other people without sending attachments.
Microsoft SharePoint Server libraries If you have access to a SharePoint Server library, files can be saved to the library. For more information, see Save a file to a SharePoint library. SharePoint libraries can be accessed directly in Outlook.
If your organization uses SharePoint Server and provides you with a My Site, you can upload your files to your My Site Shared Documents library, and then include a link to the file in your message.
When you open the SharePoint document library to which you have uploaded your file, right-click the link to the document, click Copy Shortcut, and then paste (CTRL+V) the shortcut into your message.
OneDrive OneDrive is a free Microsoft service that provides password-protected online file storage making it possible to save, access, and share files online with friends or co-workers, from nearly anywhere. You can save Microsoft Office documents directly to OneDrive. For more information see, Introduction to OneDrive.
Shared network locations Save files in a folder that your recipients can also access. You can then send recipients a message containing a link to the shared location. On the Insert tab, in the Links group, click Hyperlink. If the shared location path or file name contains spaces, see Add links containing spaces to an e-mail message.
Photo sharing sites If you are sending pictures to someone, consider resizing those pictures before you send them. See Reduce the size of pictures and attachments. With modern digital cameras, each picture can be 3 MB or more when you transfer them from your camera. If you don’t want to resize your pictures, there are many photo sharing websites where you can upload your pictures, and then send a link to the pictures in a message.
Video sharing sites Even a short video file can be very large. Consider sharing video clips using one of the methods described in this article or to a video sharing website.
Security Note: When you attach a file to a message, you determine the intended recipient. If you upload a file to a shared location or service, make sure that you understand the privacy and security settings of that site, including who has access to your file.
Nearly every web application that offers some sort of cloud-based storage space – look at YouTube, Flickr, Facebook or Scribd – support file uploads via email. You get a unique email address and any files that you send to this email address are uploaded to your online account.
This is handy for a couple of reasons. You can upload files from your mobile phone by simply attaching them to an email address without requiring any specific app. If you are working with a group, everyone can upload content to a common space without knowing the login credentials. You can even send remote print commands via email.
Send Files to Dropbox using Email
Surprisingly Dropbox, the most popular file storage and sync service on the web, doesn’t offer native support for email based file uploads yet. You can however use the free IFTTT service to upload files to your Dropbox by Email.
Just create a new recipe inside IFTTT (see the guide below) and email your files to your IFTTT email address with the email subject as #DROPBOX. Your files will appear in your Dropbox within a minute or two automatically.
Step 1: Create a new recipe inside IFTTT and set Email as the Trigger channel.
Step 2: Email triggers can be activated by either sending an email message to a particular email address ([email protected]) or by sending an email message with a particular hashtag in the subject. We’ll choose the latter option since it will allow us to configure additional email triggers (say for Google Drive and SkyDrive) for the same IFTTT account.
Step 3: The trigger should activate when the email message has #dropbox in the subject line. You can use a different hashtag if you like like #db or something you can easily remember.
Step 4: Once the Email Trigger has been setup, we’ll choose Dropbox as the Action channel. If you wish to upload files to another cloud service, choose and activate that service here.
Step 5: Since we need to upload files by email, the action should be “upload file by URL” where the URL is that of our email attachment.
Step 6: In the last step, don’t change the default settings. IFTTT will read the file attachment in the email message and will automatically upload it to your Dropbox folder. If you wish, you can change the default “save” location inside the Dropbox folder.

Here’s an alternate DIY method that lets you transfer files to your Dropbox folders by sending them to an email address. Before I get into the actual details, here’s a working demo:
The trick is simple.
Step 1. Setup a Gmail account that will become your Dropbox email address. Gmail lets you attach files up to 25 MB in size but if you need to upload even bigger files, use Hotmail.
Step 2. Get the Mail Attachment utility and configure it such that it checks your Gmail account for new email messages after every ‘n’ minutes.
This tiny utility connects to your email account via POP3 or IMAP and fetches any new file attachments from the inbox. It only downloads the attachments as separate files and not the actual email message – that’s exactly what we want.
Step 3. Set the “Save Location” inside the Mail Attachment utility to any sub-folder of your main Dropbox folder (you may call it “email-uploads”). Hit the close button to minimize the app to the system tray and it will continue checking for new files in the background.
That’s it. Compose an email message, attach some files and send them to your Dropbox address. Within a minute, those files would become available in your Dropbox folder.
If you want other people to upload files to your Dropbox folder, simply share your Dropbox email address with them and reset it once the task is done!
