Many email servers refuse to accept email attachments over a certain size. While attachment sizes haven’t kept up with the times, there are other easy ways to send someone large files over email.

Even if you’re using a modern, online email client, message size is limited. Gmail, for example, allows messages to be up to 25 MB, including the message’s text and any attachments. Outlook.com allows only 10 MB. When sending messages over these services, they will automatically give you a helping hand and suggest alternatives—such as using Google drive for Gmail attachments and OneDrive for Outlook.com. That’s handy, of course, but if you’re using a desktop email client or another service, you may need to know about these tricks yourself.

What’s the Maximum Size of an Email Attachment?

In theory, there’s no limit to the amount of data you can attach to an email. Email standards don’t specify any sort of size limit. In practice, most email servers—and some email clients—enforce their own size limits.

In general, when attaching files to an email, you can be reasonably sure that up to 10MB of attachments are okay. Some email servers may have smaller limits, but 10MB is generally the standard.

Gmail allows you to attach up to 25MB to a single email, but this is only guaranteed to work if you’re emailing other Gmail users. As soon as the email leaves Gmail’s servers, it could be rejected by another email server. Many servers are configured to not accept more than 10MB of attachments.

It’s not even as simple as looking at the maximum attachment size of the service you use and the service you’re emailing—emails often travel over several mail transfer agents when they’re sent, so you may have your attachment rejected by a server along the way if you attach too much data.

You should also bear in mind that email attachments are generally MIME encoded, which increases their size by about 33%. So 10MB of files on your disk will become about 13MB of data when attached to an email.

Use a Cloud Storage Service

By far, your simplest option is to store files you want to share on a cloud storage service like Dropbox, Google Drive, or OneDrive. You can then share the file with someone and inform them via email that you have done so. They can then click a link and download the file directly to their computer.

If you use Gmail or Outlook.com, you’ll find that Google and Microsoft have integrated Google Drive and OneDrive into their respective email services. Just click the Google Drive or SkyDrive button when sending an email and you’ll be able to share a file via email. Gmail and Outlook will walk you through choosing a file that already exists in your cloud storage drive or uploading a new file.

If you use something like Dropbox, you can share the file from the cloud storage service’s website. For example, right-click a file on Dropbox’s website and select Share link if you use Dropbox. If you have the Dropbox app installed on your computer, you can also right-click any file in your Dropbox folder and you’ll see a “Share” command there, as well.

This is the option many email providers are pushing us towards—if you try to attach a large file in Gmail or Outlook.com, you’ll be prompted to upload it to Google Drive or SkyDrive first.

Create and Send Multi-Part Archives

If you’re looking for a more traditional, do-it-yourself method, you can split your file up into smaller parts. For example, if you had a 50MB file you wanted to email—or even a collection of large files—you could use a file compression program like 7-Zip to create an archive, and then split the archive into five 10MB pieces.

After splitting the archive, you can then attach all the separated pieces to separate emails. The recipient will need to download each attachment, and then use a file extraction program to extract the larger, complete file from the separate archives.

While it can be a bit cumbersome, this traditional method still works as well as it always did. Some recipients might be confused by the separate attachments—or at least won’t enjoy jumping through hoops to reassemble them. If you’re not sure whether your recipient will know how to do this, it’s probably better to choose an easier method.

Use a Large-File Sending Service

To help answer the large attachment problems, a number of file-sending services have sprung up online over the years. These services let you upload a file, and then give you a link to your upload. You can then paste that link into an email and the recipient can click the link and download the file.

Of course, these services have to make money somehow. They may do that by displaying ads, limiting the maximum file size available to free users, or demanding a subscription fee. We’ve covered many of these online services for sending and sharing large files before. And note that when you use an online service, you’re entrusting it with your files. That may be okay if your files aren’t particularly sensitive, but you’ll probably want to shy away from uploading sensitive data to a free service you haven’t heard of before. Of course, you could encrypt the files before uploading them — but that would add additional hassle for the recipient, too.

These file-sending services work fine, so long as you’re okay with whatever ads or limitations exist, and you understand the risks—especially with sensitive files. However, we typically recommend just using a cloud storage service instead.

We all know the frustrating feeling — maybe you’ve finally finished the script for your next marketing video, or you’ve collected all the images you need for your next campaign. But when you go to press “Send” you’re told, “Sorry. File too large.”

Unfortunately, our email accounts can’t carry as much storage as you might think. Gmail, for instance, can only hold files up to 25 MB.

Depending on your email provider, you’ll likely be able to use a corresponding cloud storage — like Google Drive for Gmail, or OneDrive for Outlook.com. If you’re sending an attachment within a provider like Gmail, you’ll see the Google Drive button already integrated. Simply press it, choose your file, and then send it like a regular attachment.

Alternatively, Dropbox allows you to upload large files and then send a web link via email or text to your recipient. With Dropbox’s free tier, you’ll receive 2 GB of storage space. For $9.99 per month, you can increase your storage to 1 TB.

2. Use file compression software, like 7-Zip.

If you have multiple files, you might consider using a free compression software like 7-Zip, which can compress an entire folder of files at once. Zip files in general support lossless data compression, and are good for saving time and space while ensuring your files remain intact. Most operating systems can extract Zip files easily, without additional software.

7-Zip is available for Windows, Mac and Linux. You can also provide a password for your files with 7-Zip, to ensure they’re safe to send online.

3. Purchase a USB flash drive.

If you want to collaborate on a project or video with a large storage size, you might consider uploading it to a USB flash drive, which can range in size from 2 GB to 1 TB. This might allow you to pass your files more easily between coworkers, or back your files up for additional protection. Best of all, if you use a USB you can take some strain off your computer, extending its data storage.

4. Use a free online service, like Jumpshare or Securely Send.

There are plenty of free online services that make uploading and sending large files both easy and incredibly quick. Jumpshare, for instance, lets you send up to 250 MB worth of files with a free account — simply upload a file or folder, and Jumpshare provides you with a link to share the files. Plus, you can download the Jumpshare icon to your desktop. When you drag and drop files onto it, a link will be copied to your clipboard, which you can send to anyone, even if they don’t have their own Jumpshare account.

Securely Send is another fantastic option. You can send your files to an email recipient within Securely Send’s platform — simply input an email, upload your file, and click “Send It”. 5. Use a VPN

A VPN, or Virtual Private Network, is a service that protects your data and provides you with more privacy when you’re online by routing your internet connection through a server. A VPN can protect you from hackers, or even online ads, and is a secure option, particularly if you’re often using public wi-fi.

Some internet service providers (ISP) use broadband traffic management to moderate upload bandwidth — if this is the case for your ISP, you can use a VPN, which will prevent your ISP from recognizing how large your files are, enabling you to send them.

However, this isn’t the best option in our list for two reasons — one, the large file could slow down your VPN connection, and two, your files aren’t guaranteed to be intact upon delivery. To ensure a high-quality delivery, you might want to try an alternative option, like a Zip compression.

How many times has this happened to you? You’re trying to send a big file you’ve been working on—say a video or a presentation, or maybe just a really high-res photo—by email. But your emails keep popping back unsent with an “attachment too large” error message. No matter how many times you try, your provider simply won’t let you send large files.

But before you give up completely and start looking up how much it costs to overnight a thumb drive to your client, you should know that you’re not alone. Attachment size restrictions have forced people to get creative, and their solutions have worked out pretty well. So the next time you need to send large files, try one of these workarounds.

How to compress large files for email

There are two basic approaches to overcoming the limitations of email: compression and third-party hosting. Compression is the more direct route; you’re still sending the file attached to an email, you’re just changing the format of the file to make it small enough for the attachment size limit. Only you and the person you send your email to will have copies of your file.

There are a number of commonly used compression formats, but ZIP files are the most common. Users can create ZIP files from large source files and email them. The recipient of a ZIP file can use the software on their own computer to “extract” the compressed file back into its original form with no loss in quality.
